Change your name with your employer (PAYE / payroll)
If you’ve changed your name by deed poll, you should update your employer so your payroll records, payslips, P60/P45, pension and workplace systems match your new legal name. This helps avoid delays with HR checks, pension providers, and PAYE reporting.
What you’ll need
-
Your deed poll (or other official name-change document)
-
Your employee / payroll number (helpful, not essential)
-
Your National Insurance number (helpful, not essential)
-
Photo ID (only if your employer requests it — policies vary)
Step-by-step: updating your employer (PAYE / payroll)
-
Contact HR or payroll (or your manager if HR is handled externally) and ask for a name change update.
-
Provide your deed poll (attach a scan/photo or follow their upload process).
-
Ask them to update:
-
your payroll name (payslips + PAYE submissions)
-
your HR record and staff directory
-
your work email / login (if relevant)
-
your pension record (if enrolled)
-
-
Confirm when it will take effect (some companies can only update after a payroll cut-off).
-
Check your next payslip and confirm the name is correct.
Workplace pension, benefits and work accounts
If your employer provides any of the following, ask HR to update them too:
-
Workplace pension provider
-
Private medical / dental schemes
-
Company card / expenses systems
-
Training portals, security passes, building access, etc.
What if my employer refuses or delays?
This is usually admin policy or uncertainty — not a legal issue.
-
Ask for your request to be handled by the payroll/HR lead.
-
Ask what specific evidence they require (a deed poll is usually enough for payroll records).
-
If you’re near payday, ask them to note your new name on file while the system update is processed.
